The 2008 Grantee Meeting is now accepting proposals for poster presentations. Since this meeting is a technical assistance and training event, poster presentations should focus on sharing ideas, best practices, and other how-to information that would be beneficial for the Ryan White community.

Poster abstracts are due by June 14, 2008. Abstracts will be reviewed by a committee of HRSA HIV/AIDS staff, rating submissions based upon clarity, relevance and replication. Poster acceptance notices will be distributed by June 30, 2008, giving authors ample to time to prepare their poster presentations.

Listed below are requirements and guidelines to help presenters design posters that are more likely to be seen and understood.

Planning the Focus of a Poster Presentation

  • Use the conference theme and Meeting Tracks to determine the track under which to submit your poster abstract. 
  • As a general guide, poster presentations should contain explanatory text and/or graphic information in the following areas: Introduction; Methods/Activities; Results; Lessons Learned. Poster presenters are not required to use these categories and may modify them or use other categories to organize their posters. However, all presenters should focus on providing a clear story about the information being presented, particularly in terms of how other programs can use that information to improve their own Ryan White HIV/AIDS work.

Poster Requirements

  • Poster sessions will be held in Exhibit Halls A, B, and C. Space is available for over 150 posters for display on double-sided poster boards. The meeting organizers will provide a poster board space of 4’ x 8’ (48” x 96”) for each poster presentation. Posters must fit within the allotted flat board space.
  • Poster presenters are responsible for deciding how they wish to use the allotted space. Prepare all materials in advance. See "Tips for Preparing Posters" for ideas and suggestions on effective poster presentation techniques.
  • Once on site, be sure to identify the correct track and poster board number for your presentation before assembling your poster in your assigned space.
  • Poster presenters are responsible for affixing poster materials to boards and must therefore bring their own supplies (e.g., push-pins and scissors (check the latter in stored luggage given airport security restrictions). Please do not use tape to affix posters to boards.

Poster Setup, Meet the Authors, and Poster Removal

  • Posters must be set up on Sunday, August 24, 2008 from 12:00 p.m. - 6:00 p.m. and Monday, August 25, 2008 from 8:00 a.m. - 11:00 a.m. Prior to set up, please check in at the Poster Registration Desk to receive your assigned location.
  • Presenting authors should remain by their poster boards for the duration of the "Meet the Presenters Sessions" to be held on Tuesday, August 26, from 5:00 PM to 6:30 PM and Wednesday, August 27, 1:30PM to 3:00PM.
  • Presentations should be taken down on Wednesday, August 27, 2008 from 5:00 p.m. to 10:00 p.m. Display materials not removed by the morning of August 28, 2008 will be discarded.
